Asset Management Module

Context

CARE supports various functions involved in hospital management including management of the physical infrastructure within a hospital.

The asset Management module within CARE is utilized for tracking the status of various medical and other equipment and fixtures within the hospital.

Some of the assets tracked would be:

  • Medical equipment like Syringe Pumps, ECG Machines, etc

  • Other fixtures like Fowler Beds, shifting trolly, etc

  • Other devices like Hi-Res Cameras, Monitors, CPU, Server, etc.

Utility

The asset management function would enable users to do the following:

  1. To store useful information about the asset like warranty details, and customer service details.

  2. To configure and link the assets to beds and patients.

  3. To keep track of the movement of assets from one ward/hospital to another.

  4. To track usability/status of the asset as Working/Broken

  5. For district/state level administrators and donors to track the status of the different equipment deployed in various project sites.

High-Level Concept Diagram

Every Facility registered within CARE can have multiple registered locations like “10BedICU Ward”, “Respiratory ICU”, “Operation Theater”, “Store Room” etc.

The assets within a facility are registered to a particular location already registered within the facility. A registered asset may then be moved from one location to another in the same facility or even to another location at a different facility. Such movement is tracked by scanning the QR code on the asset and updating the information.

There are multiple Beds created under the location. The assets may be optionally linked to one or more of the beds within the location. This feature to link the asset to a bed is only available for a select type of Assets like cameras, 5-Para Monitors, Ventilators, etc.

Workflow

There are multiple workflows involved in Asset Management.

  1. Tagging the Asset: Every asset is tagged with a unique QR Code. This step is optional. However, having the QR Code on the asset makes it easy for the users to identify and asset and gather useful information about the asset.

  2. Registering the Asset: The Assets are registered one by one into CARE. The asset registration form collects the following details

    1. Details of the Asset

    2. Location detail

    3. QR Code linking

    4. Customer Support details

    5. Log and information on services done

  3. Configuring the Asset: The assets once registered are then configured wherein they are linked to identified Beds (pre-registered under locations). Not all types of assets may be configured. Depending on the type of asset, it may be configured to one or more beds.

  4. Moving the Asset: The hospital-level user (Staff, Doctor, etc) may move the asset from one location to another within the same facility. Only a district admin or user with a higher access level can move the asset across various facilities.

  5. Viewing details of the Asset: Anybody (including a non-user of CARE) can scan the QR code and view the details of the Asset, customer service details as well as the training material/ User brochure for the asset.
